We’re hiring a trusted partner to work closely with company leadership in a role that blends operational oversight, executive coordination, and personal support. This position is designed for someone who thrives behind the scenes — managing complexity, making things happen smoothly, and ensuring nothing falls through the cracks.

This is not a typical assistant role. You’ll be deeply embedded in the daily rhythm of the executive team’s operations, contributing to both strategy and execution. You’ll be the central point of contact between the leadership and the rest of the world — ensuring time, information, and energy are aligned with high-level priorities.

Responsibilities

What You'll Do

Operational & Executive Workflow Management

Own the coordination of calendars, meetings, and executive workflows
Track priorities and commitments, ensuring timely follow-up and completion
Prepare meeting materials, synthesize notes into clear actions, and facilitate logistics
Handle high-volume communications with discretion — email, calls, and internal follow-ups
Liaise with team members, consultants, and external stakeholders with professionalism
Organize reports, records, legal documents, and confidential files
Coordinate business travel, event planning, and end-to-end logistics for leadership
Communication & Relationship Interface

Act as the first point of contact for vendors, partners, and collaborators
Represent the executive team with clarity, tact, and purpose
Manage sensitive conversations and high-level inquiries, knowing when and how to escalate
Maintain awareness of what’s happening across teams to support executive decision-making
Personal & Lifestyle Support

Manage select personal logistics — appointments, household scheduling, errands
Book personal travel and related arrangements (e.g., vehicles, accommodations)
Monitor deliveries, vendor services, and general needs related to day-to-day life

Qualifications

What You Bring

5+ years supporting senior leaders or C-level executives
Fully bilingual in French and English
Post-secondary education or equivalent practical experience
Strong comfort level with digital tools (Google Workspace, Microsoft Office, etc.)
Adaptable and tech-forward; familiarity with AI tools is a plus
High level of discretion and the ability to navigate confidential matters with care
Strong judgment, natural problem-solving instincts, and a calm presence under pressure

Able to anticipate needs before they’re expressed and take action accordingly
